Position Overview
We seek a highly skilled and experienced Executive Assistant to support. The ideal candidate will be a professional who can manage a wide range of responsibilities with efficiency and discretion while maintaining the highest levels of confidentiality and integrity. This crucial role requires a proactive, self-sufficient, and trustworthy individual who is a great cultural fit for our organization. Key Responsibilities
- Executive Support to Leadership: Provide comprehensive administrative support, including managing calendars, scheduling meetings, coordinating travel, and preparing detailed itineraries.
- Confidentiality & Discretion: Handle sensitive and confidential information with the utmost professionalism, ensuring the CEO’s priorities are protected and managed effectively.
- Communication & Liaison: Serve as the primary point of contact between the Leadership and internal/external stakeholders. Filter and prioritize incoming communications, including calls, emails, and requests.
- Meeting Coordination & Follow-Up: Organize and prepare meetings with both internal and external stakeholders, including preparing agendas, taking minutes, and ensuring follow-up actions are carried out.
- Project Management: Assist the Leadership with high-priority projects, ensuring deadlines are met, and that information is organized and presented clearly.
- Documentation & Reporting: Prepare presentations, reports, and other documents, ensuring they align with company goals and strategic initiatives.
- Event Planning & Coordination: Help organize events, conferences, and meetings, ensuring all logistics are handled smoothly.
- Office Management & Efficiency: Oversee day-to-day operations for the Leadership office, maintaining a smooth and efficient workflow.
- Culture & Team Engagement: Contribute to fostering a positive and inclusive culture, supporting the Leadership in team-building initiatives and internal communications.
Required Qualifications
Experience: Minimum of 5-7 years in an executive assistant or similar role, ideally supporting Leadership or other C-suite executives.
Skills & Expertise:
- Proven ability to manage multiple priorities with a high level of organization and attention to detail.
- Strong written and verbal communication skills, with the ability to engage effectively with both internal teams and external stakeholders.
- High proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.
- Ability to work independently and anticipate the Leadership’s needs while proactively solving problems.
- Strong project management skills, with experience tracking and managing multiple tasks simultaneously.
