The Executive Assistant will support the CEO by managing the sales pipeline, coordinating meetings, tracking opportunities, and organizing internal documents. The role requires proactive problem-solving and excellent organizational skills in a fast-paced environment.
This is a remote position.
We’re looking for a proactive, organized, and detail-oriented Executive Assistant to support our CEO. This person will play a key role in keeping our sales pipeline up to date and running smoothly, while also helping with broader organizational tasks that allow the CEO to focus on strategic priorities.
You’ll need to be hands-on, self-driven, and comfortable working in a fast-paced, dynamic environment.
- Keep the sales pipeline organized and up to date (CRM, follow-ups, scheduling, etc.)
- Coordinate meetings, calls, and agendas related to business development
- Track and follow up on leads, opportunities, and proposals
- Help the CEO stay on top of deadlines, priorities, and key deliverables
- Support in organizing internal documents, notes, and action items
- Anticipate needs and proactively solve problems before they arise
- Assist with other admin or strategic tasks as needed
Requirements
- 2+ years of experience in a similar role (EA, Project Coordinator, Biz Dev Assistant, etc.)
- Strong organizational and time management skills
- Excellent communication skills, both written and verbal (English and Spanish)
- Proactive, self-starter, with a strong sense of ownership
- Comfortable using tools like Notion, Google Workspace, CRMs
- Ability to multitask, prioritize, and adapt in a fast-changing environment
- Bonus: experience in startups or digital/marketing agencies
