The Executive Assistant will manage the executive calendars, coordinate communications, organize documentation, support bookkeeping, and ensure operational continuity across multiple business lines.
This is a remote position.
Our client is looking for an Executive Assistant to support their leadership team and bring structure, organization, and efficiency to daily operations. They operate within the real estate and development space, having expanded their operations and strengthened their portfolio through strategic growth in recent years.
This role is ideal for someone highly organized, detail-oriented, and comfortable working in a fast-moving environment. The Executive Assistant will play a key role in ensuring operational continuity across multiple business lines while supporting leadership with both administrative and financial tasks.
- Manage executive calendars, including scheduling meetings, travel arrangements, and site visits
- Coordinate communication between leadership, tenants, vendors, contractors, and investors
- Maintain and organize internal systems, documentation, and project tracking tools
- Support bookkeeping activities and assist with financial tracking
- Build and manage workflows, dashboards, and documentation within Notion
- Assist in coordinating projects across property management, development, and construction teams
- Prepare reports, presentations, and meeting materials
- Track deadlines, deliverables, and project milestones to ensure timely execution
- Handle sensitive business and financial information with a high level of confidentiality
- Support ongoing process improvements and special projects as needed
Requirements
- Minimum of 3 years of experience as an Executive Assistant or in a similar operational role
- Hands-on experience with QuickBooks
- Proven experience using Notion for workflow management, documentation, or project tracking
- Strong proficiency in Microsoft Office tools
- Excellent written and verbal communication skills
- Strong organizational and time management skills with the ability to multitask
- Ability to work independently, take initiative, and solve problems proactively
- Previous experience supporting teams in construction, development, or property management environments is a plus
- Strong attention to detail and systems-oriented mindset
- Financial literacy and comfort supporting bookkeeping-related tasks
- Ability to adapt quickly within a growing and evolving business
- Highly proactive, resourceful, and process-driven
