The HR Onboarding Specialist is responsible for managing the onboarding, compliance, and occupational requirements for all hires joining Ensemble. This includes both traditional hires and those joining via client integrations. The HR Onboarding Specialist is an integral part of the business ensuring an elevated new hire experience while managing the complexities of client onboarding requirements.

Essential Job Functions:

  • Manage onboarding and occupational health requirements for assigned book of business. This includes new client intake discussions, identifying process bottlenecks, and creating streamlined approaches to maximize efficiencies. 
  • Create and maintain standard operating procedures on assigned book of business to train peers and support cross functional collaboration across the team.
  • Interpret occupational health medical results and determine appropriate vaccinations required based on assigned clients to ensure compliance with Joint Commission requirements. 
  • Responsible for navigating conversations with new hires and integrating associates to guide them through the onboarding process and ensure all items are completed timely and compliantly. 
  • Provide exceptional candidate experience to new hires while maintaining strong relationships and communication across all internal and external onboarding partners including background and occupational health vendors, HR, Talent Acquisition, and hiring leadership teams.
  • Review onboarding requirements for accuracy and determine employment eligibility based on findings.
  • Consistent partnership with Talent Acquisition Leadership to review escalations and proactively mitigate risks.
  • Navigate difficult conversations with heightened discretion to properly rescind offers, push start dates, and discuss background findings with new hires while maintaining confidentiality.
  • Maintain understanding of internal and external system integrations to troubleshoot any system gaps and enable cross functional collaboration with our IT, Workday, and External partners.
  • Continuously refine and implement onboarding controls and audits to reduce risk.
  • Execute additional HR projects as assigned.

Other Preferred Knowledge, Skills and Abilities:

  • 3-5 years of previous experience in a similar field, talent onboarding experience is preferred
  • Clear communication and problem solving skills required 
  • Bachelors Degree or equivalent experience

Required Certification:

  • CRCR Certification, or willingness to obtain within 9 months of hire
