Legal Administrative Assistant
Department: Land Use
Reports To: Office Administrator
FLSA Status: Non-Exempt
Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for a Legal Administrative Assistant in our Austin office. The Land Use Legal Administrative Assistant provides administrative and legal support to attorneys within the Firm’s Land Use Practice Group. This role supports legal operations through document preparation, billing coordination, calendar management, client communication, and administrative support related to land use and real estate matters. The position requires strong attention to detail, organization, and the ability to manage multiple priorities in a collaborative legal environment.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Legal Administrative Support
- Draft correspondence and prepare legal documents for attorneys.
- Assist with client intake, file maintenance, and organization of legal materials.
- Support document preparation related to real estate and land use matters, including escrow instructions, title review, surveys, and closing documents.
- Submit conflicts of interest requests to facilitate opening and maintain client and general files.
Billing & Financial Coordination
- Assist with timesheet entry, billing review, prebill processing, check requests, and expense reimbursements.
- Review vendor invoices for accuracy and timely processing.
Calendar & Meeting Coordination
- Manage attorney calendars, client deadlines, appointments, and meetings.
- Coordinate scheduling logistics and meeting arrangements.
Client Service & Office Support
- Provide professional customer service to clients and visitors.
- Answer and direct phone calls and relay attorney messages.
- Ensure timely handling of outgoing mail and correspondence.
General Administrative Support
- Maintain accurate client files and electronic records.
- Support attorneys and team members with additional administrative duties as assigned.
QUALIFICATIONS:
- High school diploma or GED required; bachelor’s degree preferred.
- Minimum of 5 years’ administrative experience required; prior law firm experience preferred.
- Strong proficiency in Microsoft Office Suite and document management systems.
- Strong organizational, communication, and time management skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Ability to maintain confidentiality and exercise discretion.
