The Opportunity

The Litigation Operations Manager is responsible for the operational execution of Top Dog Law's litigation function across all active states. This role serves as the primary implementation layer between firm leadership and state- level litigation teams. A core responsibility of this role is the direct oversight, training, and accountability of Litigation Team Leads in each state, ensuring uniformity in how cases are managed from litigation through trial.

What You Will Own

Team Lead Oversight & Development

  • Directly supervise Litigation Team Leads across all active states (FL, GA, MS, AZ, LA, NY, TN, IL)
  • Implement onboarding and ongoing training programs for all Team Leads, ensuring mastery of firm SOPs, Filevine workflows, phase movement standards, and performance expectations
  • Conduct regular one-on-ones and performance reviews with Team Leads to identify gaps, address concerns, and drive professional development
  • Serve as the primary escalation point for Team Leads on case-level operational issues
  • Identify and develop high-performing paralegals and litigation staff for Team Lead succession

Litigation Operations Implementation

  • Implement and enforce firm-wide litigation SOPs across all states, adapting for state-specific court rules and procedural requirements
  • Monitor compliance with phase timing benchmarks from filing through trial; escalate bottlenecks to the Regional Operations team.
  • Oversee daily operational workflows including task management, deadline tracking, court filing compliance, and case phase movement
  • Partner with Team Leads to ensure caseload assignments are balanced against capacity and case complexity
  • Coordinate cross-state operational initiatives, ensuring consistent execution regardless of jurisdiction

Training & Standards

  • Design and deliver litigation-specific training for Team Leads and litigation staff on Filevine, case management protocols, court procedures, and SOL compliance.
  • Maintain and update litigation SOPs, playbooks, and reference materials as court rules, firm processes, or case management systems evolve.
  • Facilitate regular Team Lead meetings to share best practices, surface operational challenges, and reinforce firm standards
  • Support the rollout of new tools, systems, and workflows ensuring Team Leads are fully trained and held accountable to adoption

Data & Reporting

  • Monitor litigation performance metrics across states using Filevine and BigQuery dashboards
  • Prepare regular operational reports for Law Firm Operations on phase velocity, caseload health, task completion rates, and Team Lead performance
  • Identify trends and anomalies in case data and initiate corrective action at the Team Lead level before issues escalate

What You Bring

Required:

  • 5+ years of experience in personal injury litigation operations, legal operations management, or a senior paralegal leadership role
  • Prior experience supervising or training litigation staff across multiple offices or jurisdictions strongly preferred
  • Deep familiarity with litigation case management platforms; Filevine experience a plus
  • Strong working knowledge of personal injury litigation workflows — from filing through trial — across multiple states
  • Demonstrated ability to implement SOPs, hold teams accountable to standards, and drive performance through others
  • Comfortable working with data and performance metrics; ability to read dashboards and translate findings into operational action
  • Excellent written and verbal communication skills; able to work effectively with attorneys, paralegals, and firm leadership

What We Offer

  • Base Salary: $105,000 - $125,000, commensurate with experience
  • Our job postings reflect the compensation range for the specific market and location of each role. Ranges vary by geography based on local market rates and cost of labor.
