Who We Want
As an LTL Operations Specialist, you will play a vital role in ensuring the LTL team runs smoothly and we are meeting the expectations of Arrive and the LTL carriers we work with. You will have the opportunity to work with the largest carriers in the country as well with the fastest growing 3PL in the US. This role will be a combination of working directly with carriers as well as educating Business Development Representatives in the intricacies of LTL and pricing discrepancies. The ideal candidate will have a strong background in logistics operations, customer service, and problem-solving, with the ability to manage escalations and maintain smooth day-to-day operations.

What You'll Do

Responsible for receiving all LTL aging on a weekly basis

  • Ensure all LTL carriers are sending in weekly aging reports
  • Update Master Aging sheet on Monday for all carriers
  • Working with Accounting Team to have payment status updated
  • Provide weekly status updates on Friday to all LTL carriers
  • Managing internal % threshold for each carrier. We will be looking to identify aging 5 or more days past payment terms. We know our system is set up to pay on payment terms from when the invoice is received.

Responsible for handling all rate discrepancies with LTL carriers

  • Respond to BD on LTL CSR when they have pricing discrepancy questions
  • Work with LTL carriers to ensure additional charges are valid. Dispute charges when they are not valid
  • Work with BD when additional supporting documentation is needed
  • Work with LTL carriers for updated invoices once corrections have been made
  • Create Manual Bills for any shipments that were incorrectly short paid or paid before all charges were added
  • Make sure BD understands if the discrepancy is valid and how to avoid it in the future

Responsible for working with LTLCOL Team

  • Make sure all LTL carriers have necessary documentation in order to be paid - work with carriers if documentation is missing
  • Make sure all LTL carriers are getting paid with correct payment terms
  • Answer LTLCOL questions on charge codes and if the charges are valid
  • Work with BD if a load is in voided status to create new load for billing
  • Escalate any issues up to Manager

Additional Responsibilities

  • Assist with accounting-related reporting
  • Assist with LTL operations when time permits

Qualifications

  • 1-3 years of relevant experience in third-party logistics. Experience with managing Carrier Accounting/Payments is preferred 
  • Proven experience in customer relationship management, including handling escalations, and issue resolution
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Demonstrated ability to work cross-functionally and manage relationships with both internal teams and external stakeholders.
