WHAT WE NEED...

Our team is seeking an experienced Marketing Manager to lead marketing and proposal operations firmwide. This position reports to the Vice President of Administration, manages the marketing and proposal staff, and serves as a collaborative partner to the Director of Business Development, Practice Group Leaders, Principals, and project teams. The ideal candidate brings proven leadership in team management, marketing operations, communications, process improvement, and proposal coordination while ensuring the quality, consistency, and performance of the firm's marketing, proposal, and communications efforts.

WHAT YOU'LL DO...

Marketing Operations & Process Ownership

  • Own and continuously evolve the firm's proposal and marketing workflows, processes, standards, and quality control across offices and practice groups.
  • Lead weekly proposal and marketing planning meetings, aligning priorities across Business Development, Practice Group Leadership, and Communications.
  • Maintain awareness of market trends, industry opportunities, and competitor positioning and provide relevant insights to Business Development and Leadership to support strategic decision-making
  • Oversee the maintenance of content libraries, templates, and marketing resources firmwide, ensuring brand and quality consistency.
  • Identify and implement process improvements and tools that increase efficiency, scalability, and accountability across the department.
  • Serve as the primary coordination point between Business Development, Practice Group Leadership, and Marketing staff to ensure alignment of priorities, resources, and communications.

Team Leadership & Management

  • Directly manage and supervise marketing and proposal staff, including performance reviews, goal-setting, and career development.
  • Partner with the Vice President of Administration on hiring, onboarding, and staffing decisions for the marketing and proposal team, including workload and resource planning across offices.
  • Set team priorities, delegate assignments, and hold staff accountable to quality and deadline standards.

Proposal & Pursuit Coordination

  • Coordinate the firm's proposal process, including statements of qualifications, resumes, subconsultant coordination, and proposal quality standards.
  • Partner with the Director of Business Development, Practice Group Leaders, Principals, and project teams in support of Go/No-Go discussions and pursuit planning activities.
  • Facilitate pursuit kickoff meetings and coordinate pursuit schedules, priorities, and workload assignments.
  • Coordinate interview preparation and presentation development efforts for strategic pursuits.
  • Ensure proposal resources, tools, templates, and processes support consistent execution across all offices and practice groups.
  • Collaborate with Business Development and Practice Group Leadership to support pursuit efforts and improve proposal effectiveness.

Brand Strategy & Standards

  • Oversee the firm's marketing communications, brand execution, digital presence, and marketing calendar.
  • Ensure alignment between marketing initiatives, business development priorities, and strategic growth objectives.
  • Own and maintain the firm's brand standards, voice, and visual identity across all proposal, marketing, and communications materials.
  • Serve as the final quality and brand gatekeeper for external-facing deliverables, ensuring consistency across offices and practice groups.
  • Coordinate the maintenance and updates to the brand style guide, templates, and asset libraries that keep all teams aligned and reduce rework.
  • Train and support staff firmwide on proper use of brand standards, tone, and templates.

CRM, Reporting & Performance Analytics

  • Manage CRM administration, adoption, reporting, and data quality processes in partnership with the Director of Business Development.
  • Develop reporting and dashboards that support business development, marketing, and leadership decision-making.

MINIMUM REQUIREMENTS...

  • Bachelor's degree in Marketing, Communications, Journalism, or related field.
  • 10+ years of marketing and proposal experience.
  • 7+ years within the A/E/C industry.
  • 3+ years of direct people management experience, including workload administration, performance management and staff development.
  • Demonstrated experience leading marketing operations, proposal coordination, team development, and process improvement within a professional services environment.
  • Strong understanding of marketing operations, proposal strategy, CRM systems, and workflow management.
  • Ability to manage competing deadlines, delegate effectively, and drive cross-functional collaboration.
  • Ability to clearly connect team deliverables to departmental and firmwide goals and communicate that connection to staff and leadership alike.
  • Strong executive presence, with the ability to advise and influence Principals and senior leadership and maintain composure, diplomacy, and sound judgment under pressure.
  • Advanced proficiency in Adobe Creative Suite and Microsoft Office.

PREFERRED QUALIFICATIONS...

  • Deltek Vantagepoint experience strongly preferred.
  • Experience supporting proposals across multiple market sectors and pursuit types (private, public, and federal).
  • Track record of strategically partnering with and advising senior leadership on business-critical pursuits.
  • Strong eye for design consistency and brand voice across print, digital, and presentation materials.
  • Experience leading process or technology change initiatives within a marketing or proposal function.
