Key Responsibilities
Executive Assistant Functions
Calendar Management: Managing complex calendars, scheduling meetings, and resolving scheduling conflicts for the executive team.
Travel & Logistics: Coordinating travel itineraries, booking flights/hotels, and managing expense reports.
Communication Liaison: Acting as the first point of contact, screening calls, and managing correspondence with discretion.
Document Preparation: Formatting information for internal/external communication, preparing memos, reports, and PowerPoint presentations.
Meeting Support: Preparing meeting agendas, taking minutes, and conducting follow-ups on action items.
Office Manager Functions
Office Operations: Overseeing daily office logistics, including supply inventory, vendor management (copiers, printers, catering), and mail distribution.
Facility Management: Acting as a liaison with building management for maintenance, office temperature, and cleaning.
Office Culture: Planning company events, team meetings, and fostering a positive work environment.
Technology Support: Assisting with IT needs, including office equipment maintenance and basic troubleshooting.
Required Skills and Qualifications
Experience: Proven experience as an Executive Assistant, Office Manager, or similar administrative role.
Organizational Skills: Exceptional time management and the ability to prioritize projects simultaneously.
Confidentiality: High level of integrity and discretion in handling confidential information.
Tech Savviness: Strong knowledge of Google Suites & MS Office Suite
Communication: Strong written and verbal communication skills.
Ability to work in a fast-paced environment.
