We are seeking an Office Manager to join our team. This is a hybrid opportunity based in our Austin, TX Office.

Job Summary

The Office Manager is responsible for creating an exceptional employee and visitor experience while ensuring the efficient day-to-day operation of Imprivata's Austin office. This role oversees workplace operations, vendor coordination, office services, employee events, and facilities support while maintaining a safe, organized, and welcoming environment. The Office Manager partners with cross-functional teams to support business operations and foster an engaging workplace culture. This role is required to be in the office 4 days per week.

Duties and Responsibilities

  • Manage the day-to-day operations of the Austin office to ensure a safe, professional, and productive workplace. 
  • Serve as the primary point of contact for office services, employee support, and workplace-related inquiries. 
  • Oversee office facilities, including maintenance, vendor management, space planning, and workplace improvements. 
  • Coordinate office access, seating, onboarding logistics, and shared workspace management. 
  • Manage office supplies, purchasing, expense tracking, invoices, and budget support. 
  • Plan and execute employee events, meetings, executive visits, and workplace engagement activities. 
  • Partner with HR, IT, Security, Finance, and other teams to support business operations and company culture. 
  • Maintain workplace documentation, operational procedures, and compliance with health, safety, and building requirements. 
  • Coordinate emergency preparedness, business continuity efforts, and workplace safety initiatives. 
  • Drive continuous improvement by enhancing office operations, vendor performance, and the overall employee experience. 
  • Leverage AI tools to improve administrative efficiency, streamline workplace processes, and responsibly validate AI-generated content for accuracy before implementation. 
  • Other duties as assigned and required. 

Required Qualifications

  • Bachelor's degree preferred or equivalent combination of education and relevant experience. High School Diploma or equivalent required. 
  • 3-5 years of experience in office management, workplace experience, facilities coordination, or corporate office administration. 
  • Experience managing multiple vendors and service providers. 
  • Strong organizational and project management skills with the ability to prioritize multiple initiatives simultaneously. 
  • Experience coordinating office events and employee engagement activities. 
  • Excellent verbal and written communication skills with exceptional customer service orientation. 
  • Proficiency with Microsoft Office Suite and workplace collaboration tools. 
  • Ability to work independently while building strong relationships across all levels of the organization. 

Desired Qualifications

  • Experience supporting a fast-paced technology or SaaS organization. 
  • Experience with workplace management systems, purchase order processing, or facilities management software. 
  • Knowledge of office safety and workplace operations best practices. 

This position offers an hourly range of $24.04/hr to $28.85/hr. In addition, more information about Imprivata’s benefit offerings can be found here. This range represents the high and low end of Imprivata’s compensation range for this position. Actual compensation will vary and may be above or below the range based on various factors, such as a candidate’s location, skills, experience, and qualifications.
