Project & Operations Coordinator

Type: Full-Time, Exempt

Location: Remote with occasional travel

Reports To: Program Manager, Stakeholder Engagement & Project Delivery


What We’re Looking For

We are seeking a highly organized, proactive, and adaptable Project & Operations Coordinator to support project coordination, operational systems, outreach and communications, and administrative follow-through across multiple initiatives. This role is ideal for someone who enjoys helping teams stay organized and effective in a collaborative environment and is comfortable working across Google Workspace, spreadsheets, Slack, Zoom, and related collaboration tools.


The ideal candidate is dependable, resourceful, and detail-oriented. They anticipate needs, follow through consistently, and notice gaps before they become problems. They are comfortable managing multiple priorities and stepping into new tasks with curiosity and confidence.


Who We Are

OpenET empowers water management from local to global scales by delivering transparent, scientifically rigorous satellite-based evapotranspiration (ET) data. The OpenET Consortium partnership of scientists and researchers includes leading national experts in remote sensing of ET, cloud computing, web design, and water resources and policy. The OpenET nonprofit is the operational and strategic backbone of OpenET. Our staff is tasked with ensuring the reliability and expansion of OpenET data and impact.

What You’ll Do

Project & Program Coordination

  • Coordinate internal and external meetings (project partners, consultants, contractors, funders, and other external stakeholders), including scheduling, agendas, notes, action items, and follow-up communication.

  • Track project timelines, deliverables, reporting deadlines, outreach objectives, and recurring priorities to support timely execution across initiatives.

  • Support development, maintenance, and distribution of progress reports, meeting materials, and other internal and external resources.

  • Support development and coordination of outreach campaigns, presentations, and communications materials.

  • Maintain organizational calendars, planning systems, submission tracking, and supporting documentation for grants and projects.

  • Support special projects and cross-functional initiatives as organizational priorities evolve.


Operations & Administrative Support

  • Manage support email requests and day-to-day operational coordination across the organization.

  • Support contract execution workflows, including review, signatures, and administrative follow-through.

  • Coordinate staff travel expense processing, reimbursements, and receipt management.

  • Track organizational subscriptions, software tools, shared accounts, password systems, two-factor authentication processes, and recurring operational expenses.

  • Support board and leadership administration, including preparation of materials, scheduling, and coordination of logistics.

  • Identify and help resolve administrative and operational process gaps to support organizational continuity and efficiency.


Documentation & Systems Management

  • Maintain project, contract, outreach, and operational tracking systems, spreadsheets, records, and reporting tools.

  • Organize and maintain shared Google Drive systems, templates, files, and operational resources.

  • Develop, document, and maintain internal operational policies, procedures, and workflow standards.

  • Recommend and implement workflow and process improvements to strengthen organizational efficiency, consistency, and collaboration.



Requirements

What You’ll Bring

Required

  • 2–4 years of experience in operations coordination, administrative support, project coordination, project management, or communications. An advanced degree may be substituted for experience. 

  • Strong technical proficiency with Google Workspace, spreadsheets, Slack, Zoom, and related collaboration tools.

  • Exceptional organizational skills and attention to detail.

  • Demonstrated honesty and integrity.

  • Proactive and clear written communication skills.

  • Self-starter with strong follow-through and problem-solving ability.


Preferred

  • Bachelor’s or Advanced Degree

  • Experience in marketing, branding, communications, and outreach. 

  • Experience with QuickBooks and basic project management software tools.

  • Experience supporting small businesses, nonprofits, or startup operations.

  • Interest in water resources management and climate resilience.Experience working in a mission-driven organization or fast-paced startup environment.



Benefits

Compensation

Salary range: $65,000–$75,000 annually.
