Job Summary
Responsible for overseeing the processing of payroll for over 1,200 employees on a biweekly basis for clinics in over 35 states while providing excellent customer service for employees. Ensures accurate calculation of wages, tax withholdings, and company deductions. Ensures proper governmental reporting and compliance. Prepares statistical reports as needed.
Key Responsibilities
- Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Prepares and maintains accurate records and reports of payroll transactions.
- Oversees the Paid Time Off (PTO) program, ensuring the payroll team manages all aspects of policy administration, including employee and management inquiries, manual adjustments, accrual tracking, corrections, and compliance with company standards.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Facilitates audits by providing records and documentation to auditors.
- Identifies and recommends updates to payroll processing software, systems, policies, and procedures.
- Collaborates with HR and Accounting teams.
- Resolves issues and answers payroll-related questions from employees and other departments.
Other Responsibilities
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines
- established by the practice.
- Maintains detailed knowledge of computer software as it relates to job functions.
- Completes all assigned AP training (such as CPR, OSHA, HIPAA, Compliance, Information Security, others) within designated timeframes.
- Complies with Allergy Partners and respective hub/department policies and reports incidents of policy violations to a Supervisor/Manager/Director, Department of Compliance & Privacy or via the AP EthicsPoint hotline.
- Maintain compliance with all policies and procedures, actively participate in enforcement of all ongoing Cybersecurity efforts to ensure safe and secure IT systems for all employees and clients at Allergy Partners. Remain vigilant and aware of new threats and assist the company by fulfilling an active role in observing, enforcement and reporting of cybersecurity incidents, efforts, programs and fulfill required training on a timely basis as required by frequency and due dates.
- Attends all regular meetings.
- Performs all other tasks and projects assigned by the Director.
Qualifications & Experience
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Proficient with Microsoft Office Suite or related software.
- Proficient with HRIS; PayCom experience is strongly preferred.
- PayCom experience is strongly preferred.
- Strong skill set in Microsoft products, particularly Outlook, Word, Teams, and Excel.
- Must possess a strong work ethic and ability to adapt communication styles to different audience members.
- Ability to work independently and within a team in a fast-paced and high-volume environment with emphasis on accuracy and timely processing.
Educational Requirements
- High school diploma required.
- Bachelors degree in Accounting, Business Administration, Human Resources, or the equivalent and minimum of five years of related experience.
Supervisory Responsibilities
This job has no supervisory responsibilities.
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer. Must be flexible in use of time and physical space. Must possess auditory and visual acuity to accurately perform job functions. Must be able to lift up to 15 pounds at times.

- Work is normally performed in a typical interior/office work environment. Occasional evening and weekend work.
