Position Description

Vantage is looking for a self-starter in the role of the Procurement Analyst to be part of a team that manages OFCI Equipment, which is the second largest individual cost within the construction process. The candidate will become engaged in the supply chain aspects of our Data Centers In this role, you will be responsible for record keeping, assist in obtaining updated vendors submittals; maintaining product specifications; working with vendors, and with the Procurement team to ensure specifications are adhered to in accordance with our company processes.  The candidate will monitor and manage contracts, prepare status and tracking reports for the company, and support the Procurement Managers and Director in their daily tasks. Regular collaboration and coordination are required with our supply chain partners and internal teams such as Engineering and Operations, as well as multiple Construction Management Teams. Travel will be necessary to various factories for factory witness testing, audits, and on-boarding of new vendors. Minimal travel to Vantage Data Center sites may also be required occasionally.

 

Responsibilities  

  • The individual will be working with the procurement team daily to provide needed assistance ensuring the department meets and exceeds its goals within the company.  

  • Individual will be a self-starter with the ability to manage and assist in the review of single line diagrams, product specifications, and drive OFCI Equipment submittals to closure (approval).  

  • Successful candidates will understand RFIs and RFQs for sourcing low voltage switchgear, medium voltage switchgear, transformers, electrical skids, CRAH’s, chillers, generators, UPSs and other data center equipment systems as needed. 

  • Individuals will be expected to independently coordinate with OFCI equipment vendors on continuous quality improvement, leading quality control and lessons learned implementation efforts.   

  • Manage and track equipment status with the vendors such that all scheduled dates set by the construction schedules are met. 

  • Assist in analyzing vendors’ quotes, change order requests, and submittals. 

  • Optimizing costs while maintaining quality/reliability of the equipment and vendor services. 

  • Utilize financial software to enter PO’s, review invoices, track budgets, and allocate equipment from purchase to the projects. 

  • Support the Procurement Inventory program to update equipment availability. 

  • Support Procurement Managers and Finance / Accounting with project financial closeout and invoice resolution.  

  • Drive project-level tasks and milestones assigned by the Construction Project Management team. 

  • Coordinate with vendors for scheduling start-up and commissioning support services. 

  • Maintain and develop supplier relationships.  

  • Work with members of the procurement team to contribute to ongoing process improvement efforts aimed at increasing efficiency and accuracy.  

  • Work with Compliance and Vendor Onboarding teams to ensure vendors are within established guidelines. 

  • Work with operations and reliability engineering personnel of the Vantage buildings to ensure the proper spare parts and service programs are properly in place and assist with their database. 

  • Support Construction Project Management and Environmental Health & Safety teams to ensure that OFCI vendors comply with all safety requirements.  

 

Duties

  • Collaborate with various stakeholders to ensure clarity of the equipment specifications and operational requirements.  

  • Work with Finance, Accounting,  and Construction Project Management teams to ensure all purchases have appropriately been costed to a project. 

  • Help coordinate the approval and onsite delivery of the necessary equipment per the construction schedule. 

  • Support Design Engineering in investigating new products and new vendors. 

  • Communicate openly and transparently with   Construction Project Management teams for delivery success. 

  • Assist in the management and support of equipment inventory planning efforts to include negotiation, purchase order issuance, and forecasting.  

Job Requirements

  • Bachelor of Science in engineering, construction science, supply chain management, logistics, business administration, or related field or equivalent experience, is required. 

  • 1 to 3 years of experience in a supply chain and/or construction role is required. 

  • Data Center, commercial, or industrial equipment experience is strongly preferred. 

  • Aptitude to learn quickly and drive things to closure is required. 

  • Strong business acumen with a strong commercial background is required. 

  • Knowledge of sourcing and procurement techniques is required
