We are seeking a highly organized and proactive Program Coordinator to support a strategic program. This role will be responsible for managing an inventory program that supports a large-scale rewards platform, ensuring merchandise is properly planned, stocked, and fulfilled to support redemption activity.


This Program Coordinator will support inventory planning, vendor coordination, fulfillment operations, and program reporting while working closely with internal teams, vendors, and fulfillment partners to ensure the program operates smoothly.


The role will also support special kitting and project-based fulfillment initiatives that require coordinating ad-hoc merchandise purchases and shipments to the warehouse for assembly and distribution.


The ideal candidate is highly organized, detail-oriented, and comfortable supporting complex operational programs that require coordination across multiple teams and systems.

 

Essential Functions:


Inventory Program Management
Own the inventory program supporting a large-scale rewards platform and ensure redemption merchandise is properly planned and available.

• Forecast inventory needs based on historical redemption trends and program seasonality
• Monitor inventory levels stored at the warehouse and ensure adequate stock is available for redemption activity
• Review low inventory alerts and redemption velocity to identify replenishment needs
• Coordinate inventory counts and reconciliation with fulfillment partners
• Plan seasonal inventory builds ahead of peak program periods
• Manage replenishment orders with suppliers to maintain inventory availability
• Confirm inbound inventory deliveries and validate inventory accuracy

Fulfillment Partner Coordination
Manage the operational relationship with the program’s fulfillment partner to ensure merchandise is stored, assembled, and shipped according to program requirements.

• Coordinate inventory storage and receipt of merchandise at the warehouse
• Monitor fulfillment performance and ensure orders are shipped according to program expectations
• Work closely with fulfillment partners to resolve shipping issues or delays
• Ensure orders flow properly through the fulfillment process
• Escalate operational issues that could impact end-user experience

Kitting & Special Projects
Manage special fulfillment projects that require assembling kits or shipping merchandise for program initiatives.

• Manage kitting projects that require multiple items to be assembled and shipped together
• Coordinate purchasing of ad-hoc items required for kitting initiatives
• Arrange shipment of project merchandise to the warehouse for assembly and fulfillment
• Define packaging requirements and kit contents with internal teams and vendors
• Track project timelines to ensure items are ready before deadlines

Program Reporting & Analysis
Provide operational visibility into the program through reporting and performance analysis.

• Generate regular program reports related to redemption activity and inventory performance
• Analyze merchandise redemption trends and inventory utilization
• Compile operational reports for internal leadership and stakeholders
• Monitor program performance and identify opportunities to improve inventory planning
• Maintain accurate program documentation and reporting dashboards


Operational Coordination
Collaborate with internal teams and external vendors to support the overall success of the program.

• Work closely with program leadership and operations teams to ensure smooth program execution
• Coordinate with suppliers regarding production timelines and order status
• Assist with troubleshooting order or inventory issues when they arise
• Maintain clear documentation of program workflows and operational processes



Job Specifications:

• Strong organizational and project management skills
• Excellent attention to detail and ability to manage multiple priorities
• Experience coordinating vendors, inventory, and fulfillment operations
• Ability to analyze data and produce meaningful operational reports
• Strong communication and collaboration skills
• Ability to work independently while coordinating across multiple teams


Preferred Experience:

• Experience in promotional products, branded merchandise, or a related industry
• Experience managing inventory programs or ecommerce fulfillment operations
• Familiarity with warehouse fulfillment processes and kitting projects
• Experience working with reporting tools and operational data analysis


Other Specifications:

• Position may be remote with preference given to candidates within driving distance of Boundless locations
• Some travel may be required based on program needs
