Who are we looking for?

We are currently looking for a Project Documentation Coordinator to join our Austin Team!  As a Project Documentation Coordinator, you will support public transportation and infrastructure projects by managing, organizing, tracking, and maintaining project documentation. This role works closely with project managers, engineers, construction teams, consultants, contractors, and clients to ensure project records are accurate, current, properly distributed, and maintained in accordance with project and client requirements.


Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:

  • Manage the receipt, tracking, distribution, filing, and retrieval of project documents and records.
  • Maintain organized electronic project files, document registers, logs, and tracking systems.
  • Ensure proper document naming, numbering, version control, and storage.
  • Track project documentation including RFIs, submittals, drawings, specifications, technical reports, transmittals, meeting minutes, change documentation, inspection records, and closeout documents.
  • Coordinate documents through review, approval, signature, and distribution workflows.
  • Monitor outstanding documentation and follow up with project team members to support deadlines.
  • Ensure project teams have access to current and approved documents.
  • Support project closeout, document archiving, audits, and final records turnover.
  • Maintain project information within electronic document management and collaboration systems.
  • Ensure compliance with company and client-specific document control procedures.

 

What you will bring to the Team:

  • High school diploma or equivalent.
  • 5+ years of experience in document control, project administration, records management, or a related role.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and large volumes of documentation.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Experience with electronic document management or file-sharing systems.
  • Strong written and verbal communication skills.
  • Experience supporting transportation, rail, transit, civil infrastructure, engineering, or construction projects preferred
  • Experience working with public agencies or government-funded projects is a plus
  • Experience with Procore, ProjectWise, SharePoint, Aconex, Procore, Autodesk Construction Cloud, or similar platforms highly preferred
  • Familiarity with engineering drawings, specifications, RFIs, submittals, and construction documentation preferred
