POSITION SUMMARY

 

The receptionist will be the first point of contact for all incoming calls and guests arriving at the corporate office.  The receptionist will perform administrative duties involving answering incoming telephone calls, taking messages and routing to the appropriate area or individual.  Confidentiality and professionalism are critical for this position. The position serves as the primary front-office security monitor for the corporate office. The receptionist is responsible for observing and reporting unusual or suspicious activity, assisting with visitor access control procedures, and promptly notifying appropriate personnel of security or safety concerns.


EDUCATION REQUIREMENTS

  • High School Diploma or equivalent required

EXPERIENCE REQUIREMENTS

  • 1+ year office experience; front desk receptionist experience preferred.
  • Basic to intermediate knowledge of Microsoft office software required.
  • Demonstrated organizational skills required.
  • Demonstrated ability to learn and operate business tools, office technology and office equipment.
  • Ability to communicate effectively with internal and external customers, including senior and executive leadership.
  • Ability to handle confidential materials and maintain confidentiality.
  • Ability to maintain regularly scheduled hours of business operation.
  • Fluent in English, oral and written required.
  • Ability to occasionally adjust schedule to meet business needs.
  • Prior experience in a receptionist, front desk, customer service or administrative support role preferred.
  • Ability to maintain situational awareness and exercise sound judgment when handling security-related matters.
  • Ability to remain calm and professional during emergencies or unusual situations.
  • Strong attention to detail and observation skills required
  • Maintain a clean, polished, and client-ready reception area
  • Maintains security by following procedures for visitors

MAJOR ACCOUNTABILITIES


  • Operate a multi-line telephone system, answer, screen, and forward incoming calls; provide information or take messages, as necessary.
  • Assure front desk has coverage at all times.
  • Greet guests and follow protocol to inform employees of guest arrival, assure guests are signed in, escorted as needed or provided badges.
  • Schedule meetings, maintain correspondence and other administrative tasks as requested.
  • We are looking for a highly reliable individual who demonstrates professionalism through consistent attendance, punctuality, and attention to detail. The ideal candidate is dependable, proactive, and committed to fulfilling responsibilities with minimal oversight while contributing positively to the team's success.  
  • As requested, check the conference rooms’ availability and reserve as needed.
  • Monitor access to the corporate office and follow established visitor management protocols.
  • Verify visitor identification as required and ensure all visitors are properly signed in and issued visitor badges.
  • Observe, document, and promptly report suspicious activity, safety concerns, unauthorized access attempts, or security incidents to appropriate management personnel.
  • Maintain confidentiality regarding security-related information, incidents, and surveillance activities.
  • Coordinate with building security, property management, and emergency responders when necessary.
  • Sort mail as needed.
  • Regularly communicate with supervisor any questions and concerns
  • Performs other related duties as assigned.

  • Assure all guests are greeted in a professional and welcoming manner and employees are notified of their arrival.
  • Assure incoming calls are consistently answered promptly and professionally.
  • Response to basic requests for information or services are provided promptly and efficiently.
  • Consistent quality customer satisfaction from both internal and external customers
  • Adherence to all company policies and procedures
  • All visitors are properly identified, registered, and provided access in accordance with company procedures.
  • Security concerns, unusual activity, and safety incidents are identified and reported promptly.
