Sales Operations Specialist

The Sales Operations Specialist is a trusted advisor and responsible for supporting all stages of the sales cycle. You will play a pivotal role in ensuring the smooth operation of our sales processes. Collaborating with the Account Management and Sales teams, you'll actively support the sales team by serving as the primary technical support for CPQ, and managing the accounts receivable process, including sending emails and invoices. 

Your role extends to tasks such as completing weekly Partner Orders, reconciling Salesforce and Quickbooks invoices, and ensuring data integrity within Salesforce through regular audits. Collaborating with sales and operations management, you will contribute to optimizing technology investments and proactively identify opportunities for sales process improvement. This position reports to the Operations Manager.

Responsibilities:

  • Understanding, documenting, training, and executing accounting and sales processes, updating and managing database records, agreements, and invoicing. 
  • Create and send all invoices in Quickbooks in accordance with the documented process. 
  • Proactively monitor customer subscriptions for accuracy and conformance to sales order management and revenue policies. 
  • Serve as the first line of technical support for CPQ, escalating to Operations Manager or Salesforce Administrator when necessary.
  • Follow-up with clients when invoices exceed certain days outstanding and manage collections as a part of Mogli’s Accounts Receivable process and team.
  • Complete Partner Orders within Salesforce for new, renewing, changing, and churning clients.
  • Reporting on AR status to leadership on a weekly basis.
  • Perform data analysis for regular reporting to leadership on current sales trends using both Salesforce, Quicksbooks, and other data as available.
  • Complete weekly reconciliation of Salesforce invoices against Quickbooks invoices; and Salesforce license values against Salesforce CPQ ARR values.
  • Monitor the accuracy and efficient distribution of sales reports and other intelligence essential to the sales organization. Recommends revisions to existing reports, or assists in the development of new reporting tools as needed.
  • Manage Salesforce data for cleanliness and integrity; conduct data quality audits. Work closely with sales & operations management to optimize the effectiveness of our technology investments.
  • Assist with vendor setup - forms, ACH forms, third-party payers, vendor platform setup, etc.
  • Complete churn process, in collaboration with other teams, to end renewals, update partner order, and complete all other process steps.
  • Proactively identify opportunities for sales process improvement.
  • Completes special projects as assigned.

What you bring to the table:

  • Minimum of 2 years of experience in accounting, accounts receivable, operations, or sales support.
  • Proven background managing customer accounts and directly interacting with clients.
  • Hands-on experience with accounting functions, specifically Accounts Receivable and collections.
  • Technology Stack Experience:
    • Required: Proficiency in Salesforce.
    • Preferred: Experience with QuickBooks and Google Suite.
    • Aptitude: You are tech-savvy; capable of learning new tools and researching software solutions with ease.
  • Tenacious Problem Solver: You possess strong analytical skills and the willingness to stay with a problem until it is solved. You can adapt to rapidly changing environments and handle multiple projects simultaneously.
  • Process-Minded & Structural: You are adept at taking disparate information and creating coherence. You act proactively, keeping a watchful eye on the business to know intuitively when to add structure for scale and effectiveness.
  • A Voracious Learner: You are driven to understand every corner of a business and how the pieces operate as a whole. You are self-directed, willing to learn through hands-on experimentation, and eager to evolve your skills.

Salary and Benefits:

  • $70-80K (including bonus), dependent upon experience
