We’re looking for a service-oriented, motivated  Senior (Sr.) Benefits & Leave Specialist to help bring our growth plans to life. What we are looking for:

We’re seeking a Sr. Benefits and Leave Specialist who will be responsible for executing the company’s benefits and leave programs, including group health, dental, vision, disability, life insurance, flexible spending, retirement, and leaves of absence. This individual is accountable for the timeliness and accuracy of benefits administration, delivers high-quality customer service to employees, and maintains responsibility for the integrity of benefits data across HRIS and carrier systems. 

The Sr. Benefits and Leave Specialist also serves as the primary technical administrator for benefits-related systems, reporting, regulatory compliance, and data management. Our ideal candidate is highly organized, proactive, and confident owning operational processes end-to-end, while continuously identifying opportunities to improve efficiency and enhance the employee experience.

What you’ll do:

  • Own the administration of employee benefit programs, including new hire enrollments, qualified life event changes, terminations, COBRA, disability, and retirement plan administration.

  • Lead the annual open enrollment process including plan design, system testing, file preparation, material distribution, and assist employees with enrollment-related questions.

  • Process Qualified Life Events to ensure supporting documentation is received, verified, and retained.

  • Serve as the primary point of contact for employee leaves of absence, including FMLA, state, personal, and disability‐related leaves, facilitating employee communication, paperwork, vendor coordination, tracking, documentation, and return‐to‐work.

  • Ensure processes follow applicable federal and state regulations, including ACA, ERISA, COBRA, HIPAA, FMLA, and ADA.

  • Serve as the primary point of contact for employees regarding benefits questions, coverage issues, eligibility, plan rules, and claim support, providing a high-quality customer service experience.

  • Develop and distribute benefits communications, employee education materials, and onboarding support.

  • Conduct detailed benefits analysis to compare plans for mergers and acquisitions and assist with communication to new employees.

  • Maintain and update employee benefit information in company systems, ensuring data accuracy, system integrity, and timely processing of deductions and enrollments.

  • Coordinate the transfer of benefits data to external vendors for eligibility files, payroll deductions, premiums, contributions, and plan administration.

  • Troubleshoot technical issues and partner with internal and external teams to resolve system errors or discrepancies.

  • Verify accuracy of monthly benefit invoices, reconcile discrepancies, and monitor timely invoice processing and reconciliation.

  • Generate and review regular benefits reports, audits, and reconciliations to ensure accurate billing, contributions, and enrollment data.

  • Coordinate and maintain benefits documentation, including notices, summaries, audits, and compliance materials.

  • Identify, document, and implement opportunities to improve processes, increase efficiency, and enhance the employee experience.

  • Other duties as assigned.

It’ll help to have/be: 

  • Meticulous, detail‑oriented, and highly organized

  • Able to manage multiple tasks and deadlines in a fast‑paced environment

  • Strong administrative and coordination skills

  • Solid technical aptitude with HRIS, benefits systems, file feeds, and data auditing

  • Knowledge of benefits regulations, plan rules, and compliance requirements (ACA, ERISA, COBRA, HIPAA, FMLA, ADA, etc.)

  • A solutions‑oriented approach, with the ability to troubleshoot and resolve issues

Qualifications/Experience: 

  • Bachelor’s degree required with degree in human resources, business administration, or related field preferred

  • At least 5 years of hands‑on benefits and leave administration experience

  • Strong technical experience with HRIS (ADP WorkforceNow a plus) and benefits systems 

  • Proficiency with Microsoft and Google productivity tools

Work Environment and Physical Requirements: 

Administrative office may have minimum visits to medical offices with possible exposure to procedure/exam room and laboratory environment may include exposure to communicable diseases, bloodborne pathogens, biohazards or toxic substances. Daily activities may include standing, walking, sitting, bending and lifting items up to 30 lbs.
