How Will You Make a Difference?

  • Project Management: Implement and assume responsibility for completion of major projects relating to the transfer of client files/matters.
  • Communication: Support and notify attorneys and support staff at all levels of the organization on transfers policies and procedures, as well as responding to questions and providing guidance as needed.
  • Records Collection & Review: Collect records/files from offices and off-site storage for disposition or the transfer.
  • Software Utilization: Use computerized records management software to update systems with current data.
  • Legal Correspondence: Collaborate with the legal staff on proper transfer letters (e.g., transfer, terminations, and FA notifications).
  • Retention Procedures: Organize, update, and follow through on retention procedures based on instructions from clients and firm administration.
  • Compliance Communication: Communicate directly with legal staff, support staff, and administration to ensure compliance with transfer policies.
  • Project Assistance: Assist with various projects that include closing files, transferring files in/out of the firm, terminations, retention, and other special projects.
  • Central Point of Contact: Serve as the central point of contact with handling teams and previous or new counsel in processing incoming and outgoing file transfer requests.
  • Data Integrity: Reviews and ensures data integrity of firm records across various systems.

What Will You Bring to the Table?

  • High school diploma or equivalent is required.
  • 3+ years of experience in records management or equivalent field in a professional office environment is required.
  • Experience in the legal or professional services industry is preferred.
  • Experience with Prolaw, Foundation IP or other client database software.
  • Demonstrated ability to thrive in a collaborative, team-oriented environment and contribute positively to team dynamics.
  • Strong interpersonal and communication skills, essential for interacting effectively with a diverse group of attorneys and staff through phone, email, and in-person communication.
  • Exceptional attention to detail and organization skills across all responsibilities.
  • Proficiency in Microsoft Office Suite, databases, applications, and other relevant software, with a strong willingness to learn and adapt to new and evolving technologies.
  • Ability to change and adapt to current and future responsibilities and circumstances.
  • Ability to accommodate pacific time zone hours is preferred.
  • This position will be scheduled until 7:00 p.m. Central / 5:00 p.m. Pacific.

  • The salary range for this position varies by geographic market. Final compensation will be based on a variety of factors including education, experience, skills, professional background, overall qualifications, and location. 
    • In Minneapolis and Chicago, the estimated starting pay range is $26.15 - $32.82 per hour (based on a 37.5-hour workweek), which is equivalent to $51,000 - $64,000 annually.
    • In San Diego, the estimated starting pay range is $30.21-$37.91 per hour (based on a 35-hour workweek), which is equivalent to $55,000-$69,000 annually.
    • In Silicon Valley, the estimated starting pay range is $32.41-$40.65 per hour (based on a 35-hour workweek), which is equivalent to $59,000-$74,000 annually.
