Job Summary

UATX seeks an entrepreneurial data enthusiast to serve as the Development Operations Coordinator. This position will help advance one of the most ambitious fundraising efforts in higher education on behalf of a new meritocratic university in Austin, Texas.

You will cultivate and manage a portfolio of mission-aligned current and prospective donors, executing

sophisticated moves management strategies to secure philanthropic gifts. The Development Operations Coordinator maintains the integrity of the CRM, ensuring accurate gift processing, and strengthening donor pipeline development through prospect research and portfolio management support.

This role is ideal for a dynamic and curious individual who thrives on organization, curiosity and collaboration. A candidate should be in pursuit of excellence and possess a desire to build a best-in-class fundraising program and portfolio at the nation’s most innovative new university.

Responsibilities

  • Maintain and support the ongoing integrity of the CRM, including data entry, record updates, data hygiene, and constituent record management across contacts, organizations, and fundraising activity

  • Conduct regular audits and standardization efforts to improve reporting accuracy and overall data quality

  • Process gifts and pledges accurately and in a timely manner, ensuring proper coding, documentation, and acknowledgment procedures

  • Maintain supporting fundraising documentation including tax acknowledgments, pledge reminders, and compliance-related records

  • Coordinate with Finance to support reconciliation, reporting, and gift tracking processes

  • Identify and qualify prospective donors using wealth screening tools, research platforms, and predictive giving indicators

  • Conduct prospect research to assess donor capacity, inclination, affinity, and alignment with institutional priorities

  • Collaborate with faculty, leadership, and staff to source and validate new donor prospects and strategic relationships

  • Support the assignment, maintenance, and ongoing refinement of prospect portfolios for gift officers

  • Monitor donor and prospect movement through the fundraising pipeline and support moves management tracking and reporting

  • Conduct portfolio management meetings with gift officers to ensure proper portfolio mix, churn and prospect progression

  • Ensure institutional prospect pipeline is healthy and supportive of both short- and long-term philanthropic revenue targets

  • Assist with portfolio review processes, donor segmentation efforts, and development reporting initiatives

  • Meet annual KPIs including # of new prospects assigned, 100% research coverage in top prospects, and maintaining portfolio mix to be within ideal ranges
