To support our extraordinary teams who build great products and contribute to our growth, we’re looking to add an Executive Assistant to the Chief Human Resources Officer located in Austin, TX.
The Executive Assistant will work closely with the CHRO and Chief of Staff to support the day-to-day rhythm of the CHRO’s office, anticipate and address evolving needs, and ensure executive activities are aligned with organizational priorities.
Reporting to the Chief of Staff to the CHRO, the Executive Assistant will serve as a trusted partner to the CHRO, providing high-level executive and operational support and helping ensure the CHRO’s office operates seamlessly and effectively in support of the organization’s priorities.
This is more than a traditional executive support role. The ideal candidate is highly proactive, exceptionally organized, technology-forward, and confident operating with senior executives and key stakeholders. They anticipate needs, exercise sound judgment, navigate complexity, and proactively identify solutions before issues arise. The Executive Assistant will have access to highly sensitive executive, employee, organizational, and business information and must demonstrate the highest degree of confidentiality, discretion, integrity, and professionalism in every interaction. They leverage technology and AI thoughtfully to enhance productivity, streamline processes, and increase the overall effectiveness of the CHRO’s office.
What a typical day looks like:
- Manage the CHRO’s complex global calendar, meetings, and travel while prioritizing competing demands.
- Coordinate executive meetings, offsites, talent reviews, and HR leadership events and activities, including agendas, materials, logistics, and follow-up.
- Serve as a trusted point of contact for the CHRO, handling sensitive and confidential business, employee, and compensation matters.
- Anticipate executive needs, resolve issues proactively, and ensure alignment with key priorities.
- Track action items, deadlines, and deliverables to support effective execution and communication.
- Prepare presentations, reports, briefing materials, and executive communications.
- Support special projects and cross-functional initiatives with HR, Finance, Legal, Communications, and other stakeholders.
- Leverage AI, Microsoft Copilot, and digital tools to improve productivity, information management, and workflow efficiency.
- Identify and implement process improvements to enhance executive and HR operations.
- Manage travel logistics, visas, expense reporting, and leadership events to ensure seamless execution.
The experience we’re looking to add to our team:
- 8+ years of executive support experience in complex, fast-paced organizations, including direct support of C-suite leaders.
- Proven ability to manage executive priorities, board and leadership meetings and communications, confidential information, and high-visibility stakeholder relationships with discretion and professionalism.
- Strong judgment, organization, and project coordination skills, with the ability to independently manage competing priorities and drive follow-through.
- Exceptional communication and executive presence, with experience preparing presentations, briefing materials, agendas, and executive correspondence.
- Experience supporting talent reviews, succession planning, leadership meetings/events, and global business operations.
- Technology-forward professional with experience leveraging AI, automation, productivity tools, and international travel coordination, including visa and documentation requirements.
