About the role:
The Human Resources Assistant supports the hiring and onboarding process from offer signature through the new hire's onboarding, performing clearly defined tasks under the direction of the Onboarding Coordinator. Assists with background, licensing, and I-9 compliance tracking, serves as a point of contact for candidates and new hires, and helps coordinate onboarding activities across departments. Maintains accurate hiring records and supports early-tenure engagement through scheduled 30-day check-ins and 90-day stay interviews.
In this role, your responsibilities will be:
- Tracks completion of required background checks, drug screenings, I-9 verification, and licensing or certification requirements following execution of the signed offer letter, escalating incomplete items to the Onboarding Coordinator.
- Conducts initial candidate outreach by phone and email, communicating next steps and serving as the named point of contact, and follows up with candidates who have not completed required steps.
- Verifies that each candidate's onboarding documentation meets state licensing regulations and other applicable requirements, referring questions and exceptions to the Onboarding Coordinator.
- Monitors employee compliance with federal and state licensing requirements and follows up directly with employees so that certifications remain current.
- Responds to candidates, new hires, and operational leadership within established service expectations, so that hiring moves without avoidable delay.
- Maintains hiring records and document management systems so that files are complete, current, and retrievable on request.
- Performs data entry to track candidates through each stage of the hiring process, from initial application through new hire status.
- Coordinates with other departments so that new hires have the access, equipment, and instructions needed before their first shift.
- Conducts 30-day check-ins with new hires using established procedures, and reports issues to the Onboarding Coordinator.
- Distributes and tracks 90-day stay interviews, and compiles results for reporting on new hire trends.
As a candidate, you must have:
- B.S. Administration, HR management or equivalent
- Two or more years of customer service or administrative experience in a high-volume environment, or equivalent experience.
- Proficient with PC and iOS systems and related software and applications.
- Familiarity with HRIS systems.
- Prior experience in a high-volume hiring, staffing, or call center environment.
- Working knowledge of state security licensing requirements.
