Job Summary:

The HR Coordinator, supports the People Operations team with recruitment, onboarding, and day-to-day HR administration.

This role leads recruitment for assigned roles, supports hiring managers and interviewers, completes pre-employment requirements, and helps ensure new hires are prepared for their first day. Outside peak recruitment periods, the role flexes into onboarding, employee support, HR records, benefits, payroll coordination, reporting, and special projects.

Duties/Responsibilities:

  • Lead full-cycle recruitment for assigned roles -  Manage job postings, candidate sourcing, applicant review, interview scheduling, and candidate communications.
  • Maintain accurate recruiting records, candidate statuses, and documentation in the applicable systems.
  • Lead offer preparation, acceptance tracking, start-date coordination.
  • Manage the entire onboarding process for new hires, including coordinating pre-employment screening (background checks, drug testing, reference checks), preparing paperwork, and ensuring all requirements are completed prior to start date.
  • Lead new employee orientation sessions via Zoom ensuring a smooth transition for new team members.
  • Maintain accurate and up-to-date digital employee records, ensuring confidentiality and compliance with record-keeping requirements.
  • Complete employment verifications and other employment-related documentation in an accurate and timely manner.
  • Serve as the first point of contact for employee questions related to HR policies, benefits, and procedures, handling and escalating issues as appropriate.
  • Collaborate with the finance department regarding payroll, serving as a liaison between employees and the payroll team.
  • Support benefits administration by assisting with enrollments, changes, and answering employee questions.
  • Assist with HR-related reporting and audits.

  • Support the People Operations team with other special projects and administrative tasks as needed.

Performance Metrics:

  • Quality-of-hire outcomes: Track candidate success through 60-day performance outcomes.  Target 80% or better meeting or exceeding expectations at 60 days
  • Time-to-fill and hiring timeline adherence: Measured using the recruitment scorecard which balances time to fill with hiring manager/candidate experience and candidate success.
  • Onboarding Efficiency & Compliance: Ensure 100% compliance with all pre-employment requirements prior to start date, adherence to HR policies, procedures, and regulatory requirements while maintaining high overall satisfaction of new employees with the onboarding process.
  • New Employee Retention: Effectiveness of onboarding and early support measured by retention rates of employees during their first 3 months of employment.  Target no more than 10% new-hire turnover within the first 60 days

Required Skills/Abilities:

  • Exceptional interpersonal skills with the ability to interact professionally with employees at all levels
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Strong organizational skills with excellent attention to detail
  • Ability to maintain strict confidentiality with sensitive employee information
  • Familiarity with HR compliance regulations
  • Ability to problem-solve
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively as part of a team
  • Must be 18 years of age or older

Education and Experience:

  • 1-2 years of experience in an HR administrative/recruiting role
  • Associate's degree in Human Resources, Business, or related field preferred
  • Experience with recruiting and onboarding processes and HRIS systems required, Paylocity experience strongly preferred
  • Basic understanding of payroll processes and systems

Physical Requirements:

  • Ability to remain at your designated workstation for the duration of the workday
  • Constantly operates a computer and other office productivity machinery, such as a phone and Voice over Internet Protocol (VoIP).
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • The ability to observe details at close range (typically on a computer screen)
  •  This position is a hybrid role and will require the candidate to be in The Helper Bees’ physical office in Austin from time to time as needed. During remote work days, this position offers the flexibility of remote work at approved locations within the United States. Candidates must have a reliable internet connection and a designated work environment conducive to professional phone calls and sensitive data
