Job Description

DPR Construction is seeking an Office Coordinator with at least 5 years of administrative experience.  This position will work with all members of the organization, as well as our clients and vendors, and will be responsible for the following:

Office Duties

  • Greeting visitors and guests – direct to appropriate person/meeting room.
  • Phones - answering calls and transfer/forward as needed; use VM/EM/cell/ speed dial list.
  • Mail – open, date stamp, sort, and distribute.  If time critical, email recipient.
  • Receive incoming packages (UPS, Fed Ex, GSO, Barker Blue, Costco and Couriers ) and notify recipients.
  • Prepare outgoing packages as needed including inter-office mail.  Request delivery verification from shipping vendor and maintain shipping log.
  • Code Fed Ex and GSO account summary for region.
  • Ordering of office supplies
  • Assist marketing with shipping of holiday cards and gifts.
  • Assist with all Business Unit special events, staff meeting, holiday parties and open house

  • E-faxes – direct to appropriate person.
  • Assist with conference room reservations.
  • Assist with conference room set-up for meetings and events.  Direct catering vendors to appropriate room for set-up.
  • Assist with daily lunch orders as needed.
  • Provide administrative support as needed.
  • Liaison with facilities manager and janitorial service; promptly reporting any maintenance issues

Human Resources

  • Handle ordering of all computer and cell phone devices and accessories for employees. Get approval and coordinate all iPad requests with IT
  • Assist with print materials and swag order for new hire All Aboard Orientation
  • Coordinate, schedule and manage the entire All Aboard 2-Day process for new hires; book calendar, work with IT for computers,  communicate with new hires
  • Handle all Walk-In Craft applications and send to appropriate person for review
  • Assist employees with any HR issues/question

Qualifications

We are looking for a reliable, detail-oriented team player with the ability to manage tasks, produce quality work and consistently meet deadlines.  The successful candidate will possess:

  • Excellent listening skills and strong communication skills.
  • Ability to identify and resolve issues.
  • Professionalism and pleasant demeanor.
  • Proficient computer skills.
  • 5+ years of administrative work.
  • A strong work ethic and a "can-do" attitude about DPR.
  • This position is salaried.
