Office Manager Overview

The Office Manager is a new role that combines executive assistance with office management. You will keep our CEO, COO, and CSO organized and focused, with the CEO as your primary partner, and you will keep the office itself running smoothly for everyone else. Calendar management and travel booking are the heart of the job. Around that core, you will coordinate meetings, plan company events, and own the practical side of IT, such as laptops and account access. Over time the role will grow to take on operations work like commercial insurance renewals. This is a good fit for someone who likes variety, anticipates what people need before they ask, and takes pride in being the person a team can rely on.

  • Order supplies and equipment, and track office-related spending
  • Take on operations projects as the role grows, such as coordinating business insurance renewals

Executive Support

  • Manage complex, frequently changing calendars for the executive team, with the CEO's calendar as your first priority
  • Book and manage domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries
  • Protect executives' time by prioritizing requests, resolving scheduling conflicts, and flagging what needs attention
  • Prepare and submit expense reports for the executives you support
  • Handle confidential information with discretion and sound judgment

Meetings and Events

  • Coordinate internal and external meetings, including scheduling, rooms, video links, agendas, and catering
  • Plan and run company events from start to finish, including team off-sites and the annual holiday party
  • Manage event budgets, venues, vendors, and day-of logistics
  • Welcome visitors and make sure guests have what they need

IT administration

  • Maintain the company laptop and equipment inventory
  • Prepare and distribute laptops to new hires, and collect equipment when people leave
  • Manage account access, including setting up new accounts and removing access at off-boarding
  • Partner with HR so onboarding and off-boarding run smoothly on day one and last day

  • Experience planning off-sites or company events for 40 or more people
  • Familiarity with Rippling or a similar platform for device and access management
  • Exposure to vendor contracts, business insurance, or facilities management
