Records Retrieval Manager

Steno is growing! We’re looking for a Records Retrieval Manager to join our winning team, which is revolutionizing the court reporting industry every single day. We’re a diverse team from all over the country (and beyond) and we’re crazy about redefining the boundaries of an outdated industry.

In this role, you will be an operational extension of the Senior Director, responsible for leading a team while driving the department’s evolution toward AI-powered, tech-enabled workflows. This role sits at the intersection of people leadership and process innovation – we have an experienced team grounded in retrieval operations, and we need a leader who can develop that team, hold them accountable, and help build the systems that will take us to the next level.



On a regular basis you will

  • Provide direct oversight of a large team, managing performance, attendance, and day-to-day accountability.
  • Review and approve all employee timecards, ensuring accuracy and compliance.
  • Conduct regular one-on-ones and team check-ins to maintain alignment and engagement.
  • Identify team members not meeting KPI expectations and deliver timely coaching or escalation.
  • Partner with the Senior Director on performance improvement plans and recognition.
  • Collect and compile weekly productivity worksheets into a master tracking spreadsheet.
  • Produce weekly team performance reports for the Senior Director covering output, KPIs, and trends.
  • Compile all case-level invoices into a master billing spreadsheet before submission.
  • Champion AI adoption and workflow automation, guiding the team from manual to tech-enabled operations.
  • Partner with senior leadership to identify bottlenecks and contribute to the design of internal tools and systems.
  • Evaluate and pilot new platforms and AI solutions, providing structured feedback on team impact.
  • Document current-state workflows and proactively surface opportunities to reduce manual effort and improve throughput.

You’re gonna crush it if:

  • You have 4+ years in records retrieval, legal operations, tech-enabled services, or a related operational field.
  • You have 2+ years in a people management role, preferably leading remote teams.
  • You have familiarity with legal workflows and records retrieval; strong operational instincts are valued over expertise.
  • You have demonstrated interest or experience in AI tools, workflow automation, or no-code/low-code platforms.
  • You have experience leading teams through technology adoption or organizational change.
  • You’re proficient in Excel, Google Sheets, or similar tools; experience with automation or reporting platforms is a plus.
  • You’re entrepreneurial, self-directed, and comfortable operating where the playbook is still being written.


Compensation & Benefits

  • Salary - $87,500 - $115,000
