Sales Coordinator

As our Sales Coordinator, your mission is to serve as the operational backbone of the branch by coordinating customer rental requests, equipment availability, transportation logistics, contracts, dispatch activities, and branch communications. You will play a critical role in ensuring customers receive timely, accurate, and cost-effective rental solutions while supporting revenue growth, fleet utilization, and exceptional customer service. Working closely with customers, sales representatives, drivers, mechanics, and branch leadership, you will manage the flow of information and documentation necessary to execute rentals from initial inquiry through equipment return. Your ability to prioritize multiple tasks, maintain accurate records, communicate proactively, and solve problems quickly will help ensure safe, efficient, and seamless branch operations in a fast-paced environment where customer needs are often urgent and time-sensitive.


What You Will Do

Customer & Rental Support
  • Respond to customer inquiries and gather the information needed to fulfill rental requests.
  • Prepare and maintain rental contracts, quotes, purchase orders, and supporting records.
  • Communicate order status, delivery expectations, and changes clearly.
  • Develop a thorough understanding of the complete rental lifecycle, from customer inquiry and quoting through delivery, rental management, pickup, invoicing support, and rental closeout.
  • Proactively manage customer communications throughout the rental period, including rental extensions, off-rent notifications, and equipment exchange requests.
Operational Coordination
  • Coordinate available equipment with operations, service, drivers, and sales representatives.
  • Support delivery and pickup scheduling and third-party hauling activity.
  • Monitor open orders and follow through until commitments are completed.
  • Work closely with branch personnel to ensure equipment is prepared, inspected, and ready for customer deployment.
  • Coordinate equipment transfers between branches and communicate availability to support customer requirements and maximize fleet utilization.
Administrative Accuracy
  • Enter and update customer, order, asset, and transaction information in RentalMan.
  • Review documents for completeness and resolve discrepancies promptly.
  • Maintain organized customer and branch records.
  • Ensure rental agreements, dispatch documents, driver tickets, and supporting records are accurately completed and retained.
  • Assist with invoicing, billing support, and rental closeout activities to ensure accurate and timely processing.
Safety & Teamwork
  • Support safe equipment selection, transportation planning, and branch procedures.
  • Build strong working relationships across sales, service, operations, and customers.
  • Promote and adhere to all company safety policies, procedures, and regulatory requirements.
  • Collaborate with team members to resolve customer issues, operational challenges, and scheduling conflicts in a professional and timely manner.
  • Support a customer-first culture focused on responsiveness, accountability, and continuous improvement.

To Succeed, You Will Need

  • Bachelor's degree in business, logistics, supply chain, communications or a related field a plus. 
  • 2+ year's experience in customer service, rental, logistics, sales support, or industrial required.
  • Must be able to pass a DOT physical and possess a valid driver's license for more than 3 years with a moderately clean driving record. 
  • Possess or can obtain and maintain a valid TWIC card.
  • Strong customer service, organization, follow-up, and communication skills.
  • Ability to manage several active orders and changing priorities.
  • Proficiency with Microsoft Office and ability to learn rental systems. RentalMan experience preferred. 
  • Must be willing to work a rotating on call schedule. 

Job Location & Schedule

This position is based at our Freeport location and may require local travel. Standard hours are Monday through Friday, 7:00 AM to 5:00 PM, with the possibility of overtime and participation in a rotating on-call schedule.
