POSITION SUMMARY

The Operations Coordinator functions as the chief process manager and administrative strategist for the
School of Business and Technology. Moving far beyond legacy office management or clerical support, this
position handles complex systems coordination, data repository management, institutional reporting, and
resource oversight. In addition to serving as a high-level project manager who protects the Dean’s executive
time and orchestrates division financial procedures, this role provides secondary support for student
registration and academic advising workflows to ensure comprehensive divisional coverage during peak
enrollment cycles.

TASKS & RESPONSIBILITIES

• Executive Administration & Calendar Governance: Serve as the strategic gatekeeper of the Dean’s
schedule. Analyze, prioritize, and filter incoming communications and administrative requests to optimize
the division’s leadership workflows.
• Fiscal Management & Procurement Engineering: Direct the processing, verification, and reconciliation of
all division expenditures, institutional purchasing, and travel expense frameworks. Compile routine fiscal
analysis reports for the Dean to guide budget utilization.
• Academic Systems Logistics & Reporting: Partner with central units (Registrar, HR, Finance, Provost) to
coordinate course schedules, cross-department tracking, and faculty teaching load logistics. Maintain
accurate internal records for academic compliance and program reviews.
• Secondary Registration & Student Advising Support: Provide auxiliary advising and registration assistance
to students, partnering with the Academic Coordinator to handle course additions, drops, and general
scheduling navigation during high-volume registration periods.
• Standard Operating Procedures (SOPs) & Digitization: Build and maintain centralized digital repositories
for department documentation. Audit operational procedures, eliminate redundant bottlenecks, and
leverage digital tools to automate routine internal communication structures.
• Faculty Operations Support: Coordinate the administrative onboarding of full-time and adjunct faculty,
ensuring immediate access to learning management systems, instructional frameworks, and physical
department infrastructure.

Qualifications

Minimum of 1–2 years of progressive experience in higher education academic operations, project
management, or advanced executive administrative support.
• Advanced technical competency with enterprise planning tools, database reporting systems, and
office productivity software (such as advanced spreadsheet functions).
• Demonstrated ability to analyze logistical workflows, implement process improvements, and
exercise complete professional discretion.
• Strong interpersonal skills with the capability to provide accurate, baseline academic advising and
registration support to students.

SALARY RANGE

• $50,000 Annually, plus benefits!

Founded in 1875, Huston-Tillotson University is Austin's first institution of higher education. The
University is an independent, liberal arts, church-related, historically black institution located on a 23-
acre tree-lined campus near downtown Austin, Texas. The University is affiliated with United Methodist
Church, the United Church of Christ, and the United Negro College Fund. Undergraduate, four-year
degrees in business, education, the humanities, natural sciences, and social sciences are awarded.
