Objectives of this role:

The Sr. Account Executive (SAE) is a key contributor within the Client Services team, responsible for ensuring the successful day-to-day management of client accounts and projects. This role requires independent ownership of project execution and a growing ability to contribute informed insights to strategic communication plans. The SAE is also key to fostering client relationships while driving efficient, profitable delivery of work. 

Duties and Responsibilities:

Client & Account Management

  • Demonstrate foundational understanding ofproject management, client strategy, organization, products, disease states, and medical communications through best practices in project execution.
  • Promptly and accurately document client contact reports, requests, and meeting outcomes concisely and accurately.
  • Proactively manage client expectations and provide regular updates on project status, risks, and timelines.
  • Manage an increasing number of projects independently, ensuring estimate adherence, timeliness, and quality process observance.
  • Ability to build relationships with clients and faculty and adapt to different styles and personalities; begins to handle client objections well and defends agency position with support from senior leadership.

Project & Financial Management

  • Initiate projects by developing project scopes, deliverables, timelines, and budget estimates. 
  • Open and maintain all project files and job folders.
  • Drive the day-to-day execution of projects, orchestrating all phases to ensure timely, high-quality delivery.
  • Support opening of jobs within the project and time management system (Workamajig).
  • Maintain all project files and job folders.
  • Develop estimates with minimal oversight from AD, own the daily finances on projects, and monitor/manage job activity and costs to ensure estimates are maintained.
  • Proactively identify and mitigate potential project risks and issues as they arise.
  • Manage their project finances, including tracking budgets, monitoring for scope changes, and preparing weekly burn reports.
  • Monitor staff resourcing to ensure adequate coverage across all active project work, collaborating with Operations to find necessary coverage when internal resources are limited.
  • Partner with senior colleagues and finance to preparemonthly financial forecasting and billing.

Communication & Internal Collaboration

  • Act as the central communication hub for all projects, coordinating cross-functional teams to ensure seamless collaboration.
  • Lead and facilitate internal and external meetings, distilling notes into key points and actionable next steps for stakeholders.
  • Proactively communicate project status to both internal and external stakeholders, keeping a clear record of all critical communications.
  • Demonstrate the ability to handle complex conversations with account and scientific team members.
  • Carefully evaluate project workload and timelines, raising potential resourcing risks with management to collaboratively determine how to manage coverage needs.

Regulatory & Compliance

  • Ensure all project deliverables meet high-quality standards by conducting thorough content reviews prior to client submission.
  • Expert in Medical, Legal, and Regulatory (MLR) submission processes and client-specific compliance requirements within publication management portals and other systems and ensuring that all projects are conducted in compliance with same. 

Qualification Requirements

  • Education: Bachelor’s degree, preferably in health sciences, marketing, or communications. 
  • Experience: 4-6 years of work experience in a healthcare, marketing, or communications agency.
  • Skills:
    • Strong communication, relationship-building, and strategic thinking skills. Excellent organizational skills, attention to detail, and follow-through.
    • Competency in presentation skills.
    • Strong experience with project management software (e.g.,Workamajig (preferred), Airtable, Jira) is a critical requirement.
    • Proficient in Microsoft Word and intermediate-level Excel and PowerPoint.
    • Experience with publication management software is a plus.
    • Ability to travel at least 1-3 times per year to meet with clients.
