MongoDB is seeking a Senior Workplace Coordinator to support the Austin office and help create a workplace experience that is welcoming, productive, and energizing for employees and visitors alike.

This role is ideal for someone who enjoys being the go-to person, thrives in a fast-moving environment, and takes pride in bringing people together. While this is a broad workplace coordination role, event planning and execution will be a major focus. You will help shape a vibrant office culture by leading workplace-supported events and experiences while also supporting the day-to-day operations that keep the office running smoothly.

No two days are the same. One day, you may be planning an office-wide celebration, coordinating vendors, and managing event logistics. Next, you may be responding to employee requests, reviewing space setups, supporting visitors, or partnering with local teams to ensure the office is operating at a high standard. If you are organized, proactive, service-minded, and excited by both hospitality and operations, this could be a great fit.

Responsibilities
  • Lead the planning and execution of workplace-supported events, activations, and office experiences, bringing a Think Big, Go Far mindset to programming that strengthens culture and connection
  • Partner with Employee Experience, Recruiting, Executive Assistants, ERGs, Site Leadership, and other cross-functional teams to Build Together and deliver thoughtful programming
  • Manage event logistics from concept through execution, including vendor coordination, catering, timelines, communications, room setup, onsite support, and follow-up
  • Make it Matter by delivering events that are elevated, organized, purposeful, and aligned with the employee experience goals, budgets and local flare of the Austin office
  • Own What You Do by helping ensure the office is operated and maintained in a safe, professional, organized, clean, and efficient manner
  • Manage the front-of-house experience by greeting employees, visitors, guests, and vendors with warmth and a hospitality-first mindset
  • Respond to, track, and resolve employee requests through internal workplace support channels and systems with urgency, follow-through, and accountability
  • Conduct regular walkthroughs of the office to identify operational, maintenance, hospitality, or presentation issues and follow through on needed actions
  • Monitor office supplies and coordinate replenishment weekly
  • Manage vendor relationships for cleaning, lunch delivery, maintenance, compliance and office services
  • Communicate workplace updates, expectations, and event information clearly and consistently
  • Serve as a visible, approachable point of contact for workplace support in Austin
  • Be Intellectually Honest when assessing office needs, identifying patterns, escalating issues, and recommending practical improvements
  • Support tracking of workplace spending related to events, supplies, and office operations
  • Balance creativity with practical decision-making to deliver meaningful employee experiences within budget constraints
Requirements
  • 3+ years of experience in workplace, office coordination, hospitality, events, employee experience, or a related field
  • Strong event planning and execution experience, ideally in an office, hospitality, or employee-facing environment
  • Excellent organizational skills, follow-through, and attention to detail
  • A proactive, hands-on approach and the ability to manage multiple priorities in a dynamic environment
  • Strong communication skills and confidence working with a wide range of stakeholders
  • A warm, service-oriented mindset with strong emotional intelligence and sound judgment
  • Experience working with vendors, budgets, and administrative processes
  • Comfort with workplace technology and productivity tools, including Google Workspace and Microsoft Office
  • Ability to work onsite in the Austin office on a consistent basis
  • Ability to lift and move up to 30 lbs when needed for event setup or workplace support
