We need an HR Operations Specialist who loves building clean, reliable systems and processes that scale with us.  

This is a builder's role. You'll take full ownership of our HR systems, records, and workflows: standardizing them, strengthening them, and continuously improving how they run. You'll make sure the data, the paperwork, the process, and the system of record are accurate, current, and built to scale.  

You'll be part systems owner, part process architect, part detail-obsessed operator, and 100% focused on giving Lightspeed an HR foundation that holds up. 

NOTE: This position is hybrid and requires several days on site each week at our Austin, TX headquarters.  

Visa sponsorship is not available for this position. 

WHAT YOU'LL DO 

  • Own HR systems and data integrity. Administer our HRIS and ATS end-to-end, and make sure our systems of record stay accurate, consistent, and fully trustworthy. 
  • Administer the employee lifecycle. Process new hire paperwork, coordinate onboarding logistics (accounts, equipment requests, orientation scheduling), manage offboarding checklists and documentation, and maintain personnel files. 
  • Own compliance recordkeeping. Manage I-9/E-Verify processes, required labor law postings, policy acknowledgment tracking, personnel file audits, and support EEO/ACA reporting. 
  • Administer benefits and leave logistics. Process enrollments and life-event changes, reconcile vendor invoices, and track leave documentation (FMLA, state leave, accommodations paperwork). 
  • Build and document HR processes. Create clear, documented SOPs and repeatable workflows for onboarding, offboarding, leave, systems maintenance, and anywhere else a strong process makes the whole team faster. 
  • Support recruiting operations. Post jobs, coordinate interview scheduling, generate offer letters, manage background checks, and keep the ATS pipeline clean and current. 
  • Produce HR reporting. Build and maintain recurring reports and dashboards (headcount, turnover, compliance status) for leadership. 
  • Use AI like it's part of your toolkit. Use AI tools to draft communications, summarize data, build templates, and generally make the admin work faster and sharper. We're not asking you to be an engineer; we're asking you to be curious and current. 

WHAT YOU BRING 

  • 3–5 years of experience in an HR administrative, HR operations, HRIS, or generalist role with heavy systems and process ownership, not just checklist execution. 
  • A demonstrated track record of building and strengthening HR systems and processes independently. 
  • Strong HRIS/ATS experience: comfortable configuring, auditing, and maintaining data integrity in HR systems. 
  • Sharp attention to detail and a documentation-first instinct: you naturally build the SOP and make processes repeatable rather than relying on memory alone. 
  • Working knowledge of core HR compliance requirements (I-9, FMLA/leave basics, recordkeeping). 
  • Self-starter energy and a fast, independent learning style. You don't need a training plan or a lot of handholding; you dig in, find the answer, and figure out the tool or process on your own before asking. 
  • Comfort with HR technology and genuine curiosity about AI. You're not waiting for a workshop to figure out how tools like Claude/ChatGPT, Copilot, or other AI platforms can make you sharper. 
  • Clear, precise written communication: you can write a policy, SOP, or process doc that people can understand and follow. 

NICE-TO-HAVES 

  • Experience with HR system implementations, migrations, or large-scale process improvements. 
  • Edtech or SaaS background: if you already understand our world, you'll ramp faster and contribute sooner. 
  • Familiarity with payroll processes and tools. 
  • PHR or SHRM-CP certification, preferred.
